This is not boilerplate. TeamLockIn is built for youth sports, which means children's information moves through it every day. Here is exactly how we have designed for that, and what we expect from the adults who use it.
1. The rules that shape the whole product
No child under 13 holds an account. A parent or guardian holds it and receives everything on the child's behalf.
No adult can privately message a player. There is no direct message between an adult and a child in TeamLockIn. Team conversations happen in team channels, where other adults are present. This is deliberate and it is not configurable.
Private rooms require three or more members. A room cannot be created between two people. Every conversation has witnesses.
Coaches and their staff can see team conversations. A coach is responsible for their program's channels and can read them.
Team joining is approved, not automatic. A coach approves every person who asks to join. Teams are not publicly discoverable by default.
2. What a coach is responsible for
Using TeamLockIn does not transfer responsibility for a program to us. If you run a program, you are responsible for:
- knowing who is on your roster and who has access to your teams
- having permission from families before entering a child's information
- having permission before filming or streaming any event
- following your league's, facility's and organization's own safety rules
- background checks and screening of your staff, which TeamLockIn does not perform
- reporting suspected abuse to the appropriate authorities
TeamLockIn does not run background checks, verify identity, or supervise any program.
3. What a parent should know
- You hold the account for a child under 13. Everything comes to you.
- You can see every team your child is on, and leave at any time.
- No adult can message your child privately through TeamLockIn.
- You can ask us at any time to show you, correct, or delete your child's information.
Email privacy@teamlockin.com.
- If your program uses "Schedule Only" access, you still receive every alert. You simply
do not see the team chat.
4. Reporting a concern
If a child is in immediate danger, call 911 or your local emergency number first. Then tell us.
To report something to TeamLockIn: email safety@teamlockin.com with the team name, what happened, and any screenshots. A real person reads every one.
What we will do:
- Acknowledge within one business day.
- Review the reported content and account.
- Suspend an account immediately where there is a credible risk to a child.
- Preserve relevant records.
- Cooperate fully with law enforcement and with child protection authorities.
We will close an account immediately and without notice for conduct that endangers a child.
You may also report a concern to your program, your league, or your local child protective services. Reporting to us does not replace reporting to them.
5. What is never allowed
- Any sexual content involving a minor, or any sexualisation of a minor
- Contacting a minor for any purpose unrelated to the team
- Sharing a child's personal information outside their team
- Photographing or filming a child where a family has not given permission
- Harassment, bullying, threats or intimidation of anyone
- Asking a child to move a conversation to another app or to keep it secret
That last one matters. A request to a child to keep a conversation private, or to continue it somewhere else, is a warning sign. Report it.
6. Photos and video
Coaches upload team photos and files. Families should know:
- Photos are visible to members of that team
- Files and photos are deleted 30 days after a team closes
- A coach must have permission before posting a photo of a child
- A parent may ask a coach to remove a photo of their child, and coaches are expected to
honour that. If a coach does not, email us.
7. Live streaming
A coach may link a stream hosted on a third party service such as YouTube. TeamLockIn does not host or record it.
Before streaming a youth event, a coach must have permission from the families of the players shown and from the venue. Many leagues and facilities prohibit filming entirely. Streams shared inside TeamLockIn are visible to the team, and a coach may choose to share one more widely, which is that coach's decision and responsibility.
