The short version
- Coaches pay. Families join free. We do not sell anyone's data, ever.
- Children under 13 do not have accounts. A parent or guardian holds the account.
- We collect what the app needs to work, and not more.
- Emergency contact details are visible only to the coach and their staff. Never to
other families.
- Delete your account and we delete your data, other than payment records we must keep
for tax purposes.

3. Children under 13
Children under 13 cannot create a TeamLockIn account. A parent or guardian holds the account and receives everything on the child's behalf.
Information about a player under 13 reaches us in one of two ways: a parent or guardian enters it, or a coach enters it as part of running their program. Coaches must have the family's permission before entering a child's information. That is a condition of using TeamLockIn and it is stated in our Terms.
We do not knowingly collect personal information directly from a child under 13. We do not show behavioral advertising to anyone, and we do not sell or share children's information for advertising.
A parent or guardian may at any time ask to see what information we hold about their child, ask us to correct it, or ask us to delete it. Email privacy@teamlockin.com and we will act within 30 days.
If we learn we have collected information from a child under 13 without a parent's involvement, we delete it.
4. Why we collect it
| What | Why |
|---|---|
| Name, email, password | To create and secure your account |
| Role | To show you the right screens and protect other people's information |
| Player and parent details | So a coach can run a roster and reach a family |
| Emergency contact | So a coach can reach someone if a player is hurt |
| Date of birth | To place a player in the right age group and to apply our under-13 rules |
| Messages, files, events | Because those are the product |
| Payment records | To process payments, produce receipts and meet tax obligations |
| Device and usage data | To fix crashes and understand what is broken |
5. Who can see what
This is the part people care about most, so it is spelled out.
| Information | Who can see it |
|---|---|
| Your name and photo | Other members of the teams you are on |
| Your email and phone | The coach and assistant coaches of your team |
| Emergency contact details | The coach and their staff only. Never other families. |
| Player date of birth | The coach and their staff only. |
| Medical notes | The coach and their staff only |
| Team messages | Members of that team |
| Private rooms | Only the members of that room |
| Fees and balances | You, and your coach. Never other families. |
We never show one family another family's contact details, balances, or emergency information.
6. Who we share information with
We do not sell your information. We share it only with the services that make TeamLockIn work:
| Service | What it handles |
|---|---|
| Supabase | Database and file storage |
| Stripe | Payments, subscriptions and payouts |
| Expo Push Notifications, using Apple APNs and Google FCM | Sending notifications to your device |
| Google Analytics | Understanding how the app is used |
| YouTube | Playing a live stream a coach has linked |
| Our email provider | Sending receipts, alerts and password resets |
Each of these has its own privacy policy governing what it does with data.
We may also disclose information if the law requires it, to protect someone's safety, or in connection with a sale or merger of the business. If ownership ever changes, we will tell you before your information moves.
7. How long we keep things
| Data | How long |
|---|---|
| Account information | Until you delete your account |
| Messages, events, rosters | Until the account or team is deleted |
| Files and photos | Deleted 30 days after a team is deleted or closed |
| Deleted account data | Permanently deleted within 30 days |
| Backups | Purged within 90 days |
| Payment records | 7 years, as tax law requires |
Payment records are the only category that survives account deletion, and they are kept only as amounts, dates and status.
8. Your choices
- See your data. Ask and we will provide it.
- Correct it. Most of it you can edit in the app.
- Delete your account. From the app, or by emailing us.
- Turn off notifications. In the app or in your device settings.
- Leave a team. At any time.
Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act. Email us and we will honour them.
9. Security
Data is encrypted in transit and at rest. Passwords are hashed and we cannot read them. Access to production data is limited to people who need it.
No system is perfectly secure. If a breach affects your personal information we will notify you as required by law.
10. Where your data is
TeamLockIn is operated from the United States and your information is stored and processed there. If you use TeamLockIn from outside the United States, you are consenting to that.
Cookies and similar technologies
We use cookies and similar technologies on the TeamLockIn website and in the app. We use them for three things: keeping you signed in and your session secure, remembering small preferences so the site works the way you left it, and understanding how the site is used so we can improve it.
Analytics. We use Google Analytics, which sets its own cookies to measure things like which pages are visited and how people arrive at the site. We use this in aggregate. We do not use it to build advertising profiles and we do not sell anyone's data.
Turning them off. Every major browser lets you block or delete cookies in its settings, usually under Privacy or Site data. Blocking all cookies will sign you out and may break parts of the site. You can also install the Google Analytics opt-out browser add-on at tools.google.com/dlpage/gaoptout to stop analytics cookies specifically.
11. Changes
If we make a material change to this policy we will notify you in the app or by email before it takes effect.
